Requests & Portals

What is Service Catalog in ServiceNow?

The Service Catalog is the online menu of products and services employees or customers can request, such as hardware, software access or a new parking pass. It turns each request into tracked, automated work.

What’s in the catalog

A catalog contains categories and catalog items. Each catalog item has a description, a price if relevant, questions called variables, and a fulfillment process. Record producers look like catalog items but create a record in another table, such as an incident or an HR case. Order guides bundle several items into one guided order, which is ideal for onboarding.

How fulfillment works

When a user submits an item, ServiceNow creates a request (REQ) and a requested item (RITM). A flow built in Flow Designer then handles approvals, creates catalog tasks for fulfillment teams, and can call other systems through IntegrationHub, such as granting a license or adding a user to an Active Directory group.

Where users find it

Users usually browse the catalog through the Service Portal or Employee Center, on mobile, or through Virtual Agent conversations. Good catalog search and clear item names make a big difference to adoption.

Best practices

Write item names in the user’s words, like “Request a new laptop,” not internal names. Ask as few questions as possible and use UI policies to show follow-up questions only when needed. Reuse common questions through variable sets. Retire unused items regularly; a smaller, well-maintained catalog performs better than a large neglected one.

Common mistakes

Creating a separate catalog item for every variation of a request quickly becomes unmanageable. Another common issue is items without a defined fulfillment flow, which create requests that sit unassigned.

Frequently asked questions

What is the difference between a catalog item and a record producer?

A catalog item creates a request and requested item. A record producer creates a record in another table, such as an incident or HR case.

Can the catalog be used outside IT?

Yes. HR, facilities, finance and legal teams commonly publish their services in the same catalog.

How do I automate catalog fulfillment?

Attach a flow from Flow Designer to the item, and use IntegrationHub spokes to act on external systems.
